EXAMPLE ADMINISTRATION SYSTEM
Complete administration systems can be built with varying
degrees of complexity. For example,
take a factory with a staff of 20 to 30 people. An administration system might
handle all costing requirements,
tracking and pricing componentry which combines to produce a completed product.
This componentry could be drawn from an inventory that might be updated automatically
using suppliers
electronic price lists or directly over the Internet.
Once the product has been costed, the system could generate a quote.
If the quote is accepted, the job could automatically be included in a job register
of current and proposed work.
This register might alert administrators to nearing
completion dates, or financial over runs- so present work load
and problem areas can be identified immediately, simply by checking the
job register.
Once the job is live, all purchase ordering
requirements could be automatically generated by using the list of componentry
that priced the job initially, or by taking a pre-designed product list from
a library of products.
Staff times could be collected be using a computer on the factory floor, with
all hours entered being attributed to a
job number, thus helping to accumulate data for performance analysis purposes.
Upon completion of a job, invoices can
be generated and data exported in any number of common formats. This
data can be used to drive accounting packages. Analysis
reports can be created; finding jobs that are high or low
performers, identifying why and where trouble spots are. Preferred clients
could soon be identified by analysing
