STRUCTURE OF YOUR ASSET REGISTER FILES,UPDATING PROCEDURE
AND BACK UP.
APPLICATION FILES AND FOLDERS HIERARCHY
HOW DO I SORT ACROSS TWO OR MORE
FIELDS ?
STRUCTURE OF YOUR ASSET REGISTER FILES AND UPDATING PROCEDURE
There are two important files that together run your Asset Register. These files
are :
1.) 'AsstRgstr.exe' ( Windows ) and 'Asset Register' ( Mac ).
2.) Database1.Vdb
---------------------------------------------------------------------------------------------------------
1.) 'AsstRgstr.exe' or 'Asset Register'
The first file 'AsstRgstr.exe' is an executable application file and is the
file you
double click in order to start your Asset Register. This file holds all the
code written
to display your information, make changes, calculate depreciation and generate
reports etc.
In short this file is everything you see on the screen when you are using your
Asset Register.
Although this file is important it is completely replaceable and in fact when
improvement's or
updates are made it is this file they are made to. Consequently you can trash
this file and
replace it with another downloaded from this site whenever you please.
The reason you can trash and replace this file so easily is because it holds
no data, it is only
program code that runs. As an experiment you can try dragging this file to the
desktop and double clicking
it. You will also have to drag your 'Preferences' file to the desktop as it
is required to start the program.
Your 'Preference' file is found in the 'Supportfiles' folder inside the Asset
Register application folder.
If you try this you will notice that the program starts but tells you it cannot
find the data file.
Everything is still before you on screen, there is just no data loaded into
the program. This illustrates
the concept of it being executable code, that although
appears to function normally, is actually of no
use without some data to populate it.
Be sure to put the files back to their correct places after trying this experiment.
The 'Preference' file
goes into the 'SupportFiles' folder, and the' AsstRgstr.exe' just goes into
the Asset Register application
folder.
2.) The Data File 'Database1.Vdb' ( TO BE BACKED UP REGULARLY )
This file found in the 'SupportFiles' folder is the file which holds all the
data relating to your assets.
This file is VERY important and should be backed up regularly. The file
itself is replaceable of course,
but it will be empty.
This file has no function other than a storage tank to hold your data. ( Its
actually a very complex
file commonly referred to as a database engine. The database engine used with
your Asset Register
application is provided by a third party http://www.paradigmasoft.com
and is a modern, very
advanced database engine )
From a users point of view though this file does nothing but sit there and hold
your data. You can't
open it or use it in any other way, it is just a data storage file.
When the application runs, the front end code referred to above i.e. 'AsstRgstr.exe'
talks to this
database engine file, requesting from it and saving to it your data to view,
edit and print etc.
As you can now see, there are two important parts to your Asset Register, neither
of which is
any use without the other, but together they run your application.
Updating your Front End
Obviously then updating is a breeze. All updates are made to the code file 'AsstRgstr.exe'
( Windows ) or 'Asset Register' ( Mac ) commonly referred to as the front end.
Updates will
include changes in the way the code makes calculations, displays and prints
your data etc. It will
'talk' to the back end database engine in exactly the same way the previous
version did though.
When an update is available simply follow these steps :
1.) Download the update from this website
2.) The only thing you need to keep from the update is the front end code file
i.e. 'AsstRgstr.exe' ( Win )
you can trash the rest... ( Read the Notes below )
3.) Replace your existing front end code in your Asset Register application
folder with the newly downloaded
version.
4.) Double click to have a look at the new updates. The new code will access
your data exactly the same as
the previous version did.
NOTES
If the help file has been updated to reflect changes in the new version, then
keep the new help file
from the download and replace your existing help file inside the 'Tutorial'
folder. Alternatively download a
new help file from this website
to replace your existing one.
APPLICATION FILES AND FOLDERS HIERARCHY
Here is how the folders and files are organised in the Asset Register application
folder.
There are three very important files which are required in order to run the
program, these are :
'AsstRgstr.exe' ( Windows ) or 'Asset Register' ( Mac ).
'Preferences'
'Database1.vdb'
These files must be located in the positions displayed above and named correctly.
HOW DO I SORT ACROSS TWO OR MORE COLUMNS ?
By hoding down the control key when you choose from the sort drop down menu,
the program will sort across
the accumulated field choices. Release the control key again to sort only by
one field.
